ProcuHelp vs Coupa: Which Fits a Mid-Sized Company?

Quick answer: Coupa is a broad business spend management platform built for large and upper mid-market organisations that need deep source-to-pay, payments and supply chain tools. ProcuHelp is an EU-hosted procurement platform for small and mid-sized European companies (roughly 50 to 250 employees) that want contracts, vendors, purchase requests, purchase orders and spend in one system, with published monthly pricing and a read-only ERP connection. If you run a multi-country group with SAP or Oracle and a dedicated procurement IT team, look at Coupa. If you run a 50 to 250 person company on Exact Online, AFAS, Business Central or Moneybird, ProcuHelp is the closer fit.

People searching "Coupa vs" or "Coupa alternatives" are usually in one of two situations. Either Coupa came up in a shortlist because it is the best-known name in the category, or someone in the group already uses it and the question is whether it makes sense for a smaller entity. This page compares the two products on the points that matter when you are buying for a mid-sized company: what each covers, how it connects to your ERP, where the data sits, what it costs and how long it takes to get running.
We make ProcuHelp, so read this with that in mind. Every Coupa fact below comes from Coupa's own published material or an independent listing, linked in the sources at the bottom. Where we could not verify something, we have left it out rather than guessed.
Coupa in short
Coupa describes itself as a business spend management platform. Its website groups the product into source-to-contract, procure-to-order, invoice-to-pay and direct spend management, with separate offerings for supply chain optimisation. Its site lists both "Mid-Market" and "Enterprise" as company size segments, and Coupa states it has been named a Leader in the IDC MarketScape for midmarket accounts payable automation, a report that evaluates vendors with a significant footprint among businesses with 101 to 500 employees.
On G2, Coupa has a 4.2 out of 5 rating from 570 reviews. G2 notes that organisations with more than 1,000 employees are the most represented reviewer segment, with mid-market (51 to 1,000 employees) also well represented. Reviewers praise the interface and features, and the most common complaints include a learning curve and difficult setup.
Coupa has invested heavily in AI agents. At its Inspire 2026 conference it announced Coupa Compose, a platform for building and orchestrating AI agents across procurement, finance and supply chain, including a no-code Navi Agent Studio and a catalogue of more than 20 persona-based agents for tasks such as sourcing event creation, bid comparison and sanctions risk.
ProcuHelp in short
ProcuHelp is an EU-hosted procurement platform for small and mid-sized European companies. It brings contracts, vendors, purchase requests, purchase orders and spend into one system and connects read-only to the ERP, so nothing changes in the books. The modules cover:
Vendor management: vendor profiles, document storage, reviews and scorecards, and a branded onboarding portal where you choose the required fields and the document checklist per supplier category.
Contracts: a contract registry with notice-deadline alerts, AI contract extraction, summaries and risk highlights, DocuSign eSignature and version history. Contract lines such as unit prices and tolerances can be matched against invoices.
Purchase requests and orders: one shareable intake form with no login for requesters, approval by email in one click, branded POs, supplier confirmation via a secure link, line-level goods receipt and PO-to-invoice matching.
RFP and sourcing: AI-assisted RFP building, a supplier portal, side-by-side comparison and AI-suggested scores you can apply, override or dismiss.
Spend: invoices from the ERP or a dedicated ProcuHelp email address, UBL and Peppol e-invoices parsed, PDF invoices extracted with AI, and checks for duplicates, spend over contract, off-contract spend and quiet supplier growth.
It also includes an item catalog with supplier price comparison and price drift flags, budgets, a savings tracker, dashboards and reports, SaaS licence tracking and an AI assistant.

Key differences
Scope: full source-to-pay versus a focused procurement suite
Coupa covers more ground. It includes invoice-to-pay, direct spend and supply chain tools that ProcuHelp does not offer. ProcuHelp does not execute payments, issue corporate cards, run public tenders or offer catalogue punch-out. If your finance team wants procurement and payment runs in one system, Coupa is built for that and ProcuHelp is not.
ProcuHelp covers the procurement work a mid-sized company does every week: getting requests approved, sending POs, keeping contracts and notice deadlines under control, onboarding vendors and checking that invoices match what was agreed. For many companies of 50 to 250 people, that is the part of the process that is still in email and spreadsheets, while payments already run fine through the ERP and bank. We wrote more about this split in source-to-pay vs procure-to-pay: what mid-size companies actually need.
ERP fit for European mid-sized companies
Coupa's integrations page names SAP, Oracle and NetSuite and offers an API-based programme for other systems, supported by middleware partners. That works well if you already run one of those ERPs or have integration resources.
Many mid-sized companies in the Netherlands and Belgium run on Exact Online, AFAS, Business Central or Moneybird. ProcuHelp lists integrations with each of these, and the connection is read-only: ProcuHelp reads vendors, invoices and other data, and nothing changes in your bookkeeping. We did not find Exact Online, AFAS or Moneybird named on Coupa's integrations page as of November 2026; that does not mean a connection is impossible through its API, so ask Coupa directly if that matters to you.
Pricing and total cost
Coupa does not publish its prices. ERP Research lists the model as a quote-based subscription and notes that cost drivers include named users, suppliers managed, transaction volume and selected modules. Expect to go through a sales process and to budget for implementation partners as well.
ProcuHelp publishes its prices on the pricing page: Lite at €125 per month for 3 users, Core at €210 per month for the full platform, and Enterprise on a custom quote with SSO and unlimited users. Annual billing is 20% cheaper. All features of a plan are included; you pay more only for extra users or business units.
Implementation effort
G2 reviewers most often report Coupa implementations of 3 to 6 months, with 6 to 12 months also common, and "difficult setup" is one of the recurring complaints. That is normal for a platform of Coupa's breadth, especially where ERP and supplier integrations are involved.
ProcuHelp is a smaller scope by design. The ERP connection is read-only, requesters do not need a login to submit a purchase request, and suppliers confirm POs and complete onboarding through secure links without creating an account. That reduces the number of people and systems you need to involve to get going.
Data residency
Coupa's security white paper describes an EU region on AWS in Ireland and Germany, with customer data kept in the region chosen when the instance is set up, so EU hosting is something to request during provisioning. ProcuHelp is EU-hosted on every plan by default.
AI features
Both products use AI, at different scales. Coupa is building an agent platform: a catalogue of more than 20 agents, a no-code studio to build your own and a connector for third-party agents. ProcuHelp uses AI inside specific tasks: extracting terms and risks from contracts, drafting RFP sections and questions, suggesting supplier scores with a rationale you can override, reading PDF invoices and answering questions through an AI assistant. In ProcuHelp RFPs, the buyer applies, overrides or dismisses each AI-suggested score.
When ProcuHelp is the better choice
You are a company of roughly 50 to 250 employees and procurement is handled by a small team or by finance and operations together.
Your ERP is Exact Online, AFAS, Business Central or Moneybird and you want a read-only connection that leaves the books untouched.
You want contracts, vendors, purchase requests, purchase orders and spend checks in one system, without buying payment or supply chain modules you will not use.
You want to see the price before talking to sales and keep the cost at a monthly subscription level.
Your main pain is missed notice deadlines, invoices that don't match the contract or PO, and purchase requests lost in email. Our post on why procurement breaks between 50 and 250 employees covers this in more detail.
If that sounds like your company, book a demo and we will show you the platform with your own use case.

Frequently asked questions
Is Coupa suitable for mid-sized companies?
Coupa has a mid-market segment and is used by companies with 51 to 1,000 employees according to G2. It is most often reviewed by organisations with more than 1,000 employees, and typical implementations take months. For companies at the lower end of the mid-market, the scope and effort can be more than they need.
How much does Coupa cost?
Coupa does not publish prices on its website. Pricing is quote-based and depends on factors such as users, suppliers, transaction volume and modules. ProcuHelp's prices are published, starting at €125 per month.
Does Coupa host data in the EU?
Yes. Coupa's security white paper (July 2024) describes an EU region on AWS in Ireland and Germany, with customer data staying in the region chosen at provisioning. ProcuHelp is also EU-hosted.
Can ProcuHelp pay suppliers like Coupa?
No. ProcuHelp matches invoices to vendors, contracts and POs and flags anomalies such as duplicates or spend over contract. It does not hold, block or execute payments; your finance team decides and pays through its existing systems.
What is a good Coupa alternative for a company using Exact Online or AFAS?
Look for a procurement tool that lists your ERP as a supported integration. ProcuHelp lists Exact Online, AFAS, Business Central and Moneybird. Our overview of Coupa alternatives for mid-sized companies covers other options.
